Purpose

To provide operational procedures that support situations where ākonga believe their performance has been significantly impaired through circumstances beyond their control.

Definitions

Impaired Performance (Assessment Concession): This term applies where ākonga consider that their performance in completing a summative assessment in a course has been impaired through critical circumstances beyond their control, may apply for re-consideration of the result for the assessment.

Aegrotat: Aegrotat is a term that applies when ākonga is unable to undertake a summative assessment activity through critical circumstances beyond their control. An Aegrotat Pass is the granting of credit for a course/assessment in which the required assessment was not taken.

 

The impairment will be assessed as:

Minimal - minor illness, injury, or condition (such as an upper respiratory tract infection). It is possible for ākonga to attend/complete/submit the summative assessment, but the illness, injury, or condition may have a minor impact on their performance.

Moderate - significant illness, injury, or condition. Ākonga may or may not be able to attend/complete/submit the summative Assessment/s, but the illness, injury, or condition may have a significant impact on their performance.

Severe - severe medical illness, injury, or condition supported by evidence of medical and or hospitalisation event, bereavement of significant other or serious psychological impairment certified by a counsellor or doctor. Ākonga will be unable to attend/complete/submit the summative assessment/s.

Procedure
  1. Ākonga are expected, where possible, to notify the appropriate Programme Head or equivalent in advance if they are unable to attend a scheduled summative assessment.
  2. Applications for impaired performance/aegrotat (assessment concession) should be completed in writing on the Otago Polytech Business Division (OPBD) Impairment/Aegrotat Form (refer to Appendix 1 Impairment/Aegrotat Application Part A and Appendix 2. Impairment/Aegrotat Report Part B) and be accompanied by the required evidential documentation.

2.1 Applications will not be considered after the assessment result has been finalised.

2.2 Outcomes of the process may be:

  • an adjustment of an assessment mark/s
  • permission to undertake a special examination/assessment/s
  • an Aegrotat Pass.

2.3 The application includes a provision for ākonga to give permission for the release of further information if required.

2.4 The application must be signed by OPBD Student Health, a registered health professional, or another professional third party (e.g., police officer, minister of religion, funeral director, counsellor) in support of the assessment for impaired performance (Part B).

  1. Applications must be lodged as soon as practicable before or after the date of the summative assessment, with the Head of College (HoC) and before any assessment result/s has been finalised.
  2. HoCs are responsible for ensuring that all applications are considered and processed by the programme's Academic Committee.
  3. HoCs will obtain lecturer (kaiako) recommendation/s and decide the outcome of the application.
  4. In exceptional circumstances and with the permission of ākonga, the HoC may request additional information in support of the application from the professional concerned. Ākonga must be informed of this request.
  5. Records are to be retained by the College for seven (7) years after the date of last the action in relation to the application (refer to Appendix 2. Impaired Performance / Aegrotat - College Record)
